Your workspace is the container everything else sits in — channels, conversations, agents, billing and the people who work in it. Two Settings pages cover it: Tenant settings for the workspace itself, and Users for the people. Both are Admin only.

Tenant settings

Go to Settings → Tenant settings. The card is described as “Workspace your account belongs to.”

Settings → Tenant settings shows your workspace name, onboarding state and workspace ID.

The page is read-only. Note that there is no workspace-wide timezone here — timezone is a per-person setting on your own Profile page, so each user sees times in their own zone.

Users

Go to Settings → Users. The card is titled Team members and explains the two roles in one line:
Admins manage settings, channels, agents, billing, and other users. Members are limited to the inbox and their own profile.

The Users page lists everyone in the workspace with their role and status.

Each row shows the person’s display name and email, a Role dropdown, a Reset password button, and a Disable (or Enable) button. Your own row is badged You, and a disabled account is badged Disabled.

The two roles

There are exactly two roles, Admin and Member. There is no owner role and no custom roles.

Admin

Everything a Member can do, plus: billing and plans, channels, AI agents and voice agents, automations, folders and routing rules, integration keys, AI connections, and creating and managing other users.

Member

The inbox and their own account. Under Settings a Member can open Profile, Notifications, Canned Responses and Blacklist — nothing else. Other settings pages are not shown to them.

Creating a user

There is no invitation email. An Admin creates the account directly and sets its first password, then passes the credentials on.

Click New user

On Settings → Users, click New user. The dialog explains: “Create a team member and set an initial password. They can change it after signing in.”

Fill in the details

Enter a Display name, an Email, and an Initial password. The password must be at least 12 characters and include at least 3 of: lowercase, uppercase, digit, symbol.

Pick a role

Choose Member or Admin.

Grant folder access (optional)

Under Folders (optional), tick any folders this person should see, and set each one to Read or ReadWrite. The helper reads “Grant access to selected folders. Leave empty to add folder access later.” — you can always do this from the folder itself afterwards.

Create

Click Create user. You will see “User created”. Send the person their email address and initial password; they can change it from their Profile page once signed in.
Two things can stop a create:
  • “A user with this email already exists.” — that email is already in use. Email addresses are unique across all of Callivox.
  • Seat limit reached (N users on the {plan} plan). Disable an unused user or upgrade your plan. — your plan’s user limit is full. See Plans.

Changing someone’s role

Use the Role dropdown on their row. Promoting someone asks you to confirm — the dialog is titled “Make this user an admin?” and reads {name} will be able to manage billing, channels, agents, and every other user in this workspace. Confirm with Make admin. You will see “Role updated”. You cannot change your own role. This is deliberate: it stops a workspace from ending up with no Admin at all.

Resetting a password

Click Reset password on the row. The dialog reads Set a new password for {name}. Their existing sessions are signed out; they sign in with the new password. Enter the new password — same rules as above — and click Reset password.
Resetting a password signs that person out of every device immediately. Tell them before you do it, and have the new password ready to pass on.

Disabling a user

Click Disable on the row. The confirmation reads {name} will be signed out immediately and won't be able to sign back in until re-enabled. Confirm with Disable user. Disabling is the right way to handle someone leaving:
  • Their account, and everything attached to it, is kept.
  • They are signed out at once and cannot sign back in.
  • Their seat is freed, so you can create a replacement without upgrading your plan.
Click Enable to bring the account back. Re-enabling needs a free seat, so if you have filled the gap in the meantime you may hit the seat limit. You cannot disable your own account.
